GSI2: one register for people, documents and attendance

HTLC Network’s web platform for company and employee records, documents and working time — from the clock-in to the payroll file, with every step traced.

What GSI2 is

GSI2 (Global Service Interface) is HTLC Network’s web platform for managing company and employee records, documents and attendance in a single environment, with notifications, ticketing and a personal dashboard alongside.

It is positioned as the authoritative register: it holds the data on people, organization and documents and keeps it reliable and traced. It does not try to do everything. Specialist functions, such as payroll calculation, stay with dedicated tools, which GSI2 integrates with through exports and APIs.

Who it is for

  • Service companies with staff across several sites
  • Groups with several companies, including in different countries
  • Providers that run personnel administration and attendance for multiple clients — as HTLC Network does itself
  • Employees, who consult their own clock-ins, absences, documents and notifications

Separate data for every client, hosted in Switzerland

Each client works in a separate environment with its own database. Security and confidentiality rest on that choice.

Physical isolation per client
Every client environment runs on its own dedicated database. One client’s data is never stored alongside another’s.
Live Clients
Each client environment is closed by default. Exceptions start from the destination: it grants access to specific Live Clients, which in turn authorize only specific individuals or roles. A user authorized this way works across those environments from a single account.
Organizational structure and permissions
The organizational structure — business units, departments, teams — intersects the Live Client’s companies and sites, so responsibilities map across legal entities and locations. Approvers are configurable at every level; roles define what each person sees and does.
Hosting and continuity
HTLC Network infrastructure in Chiasso, Switzerland, with backups in a green data center in Zurich. Because each Live Client has its own database, data is restored per Live Client: a restore is targeted, and no Live Client is affected by operations on another. Multi-factor authentication is configurable.
Traceability
Operations on documents and attendance record who did what, and when. Time records are never edited: they are created or deleted, and corrections are separate, traced acts.

Six modules on a shared foundation

Organization

Company and employee records, hierarchical structure, roles and permissions, time profile assignment, and documents tied to each record — such as identity documents or articles of incorporation.

Documents

Personal and company areas, with permissions per file and folder inherited down the tree. Bulk import matches each file to the right employee by tax code — the way payslips are distributed. Document requests, sharing across environments and external access.

Attendance

From clock-in to the payroll file: time profiles, anomalies, overtime, absences and reports.

How attendance works

Notifications

Alerts on events from every module, in the platform, by email and in the browser. Each can be off, on, or set by the administrator, per user or in bulk.

Ticketing

Internal requests with categories, priorities, assignment, tasks, chat, attachments, approvers and a complete history.

MyGSI

The personal dashboard: today’s clock-ins, the week’s hours with overtime, tickets and notifications. Managers can view a team member’s dashboard to assist them.

All modules rest on general tables that each client configures: countries, regions, currencies, public holidays, company closures, absence types, contractual levels and qualifications.

Further modules are in development and testing, extending GSI2 from personnel to client work: client activity management, staff task management — assignment, follow-up reminders and tracking — and a CRM.

From clock-in to the payroll file

The Attendance module covers the full cycle, from the raw clock-in to the file for payroll processing. No hour reaches payroll without passing the rules of the time profile or a traced decision. The original record stays; a correction is a separate, traced act.

Clock-in

Web, badge terminals, turnstiles via API, entered by the manager, or generated automatically — on site, remote or travelling

Rules

Compared with the employee’s time profile: tolerances, breaks, codes

Anomalies

What breaks the rules is flagged — thirteen types detected automatically

Resolution

Proposed, suggested or rule-based, then decided by the manager

Validated time

The only official data for payroll; overtime stays subject to approval

Export

Payroll software file and monthly PDF timesheet

Working rules are configured, not programmed

The time profile sets what is expected of each employee. Each profile configures tolerances and rounding, working days, mandatory breaks, permitted work modes, automatic clock-ins, payroll codes for ordinary hours and public holidays, and meal-voucher accrual. With automatic clock-ins enabled, the expected hours are recorded without any input from the employee, unless an absence is entered.

Profiles are assigned to each employee individually, and every assignment is kept in the employee’s history. A change of profile can be permanent or temporary, and scheduled in advance. To change the rules themselves, the profile is cloned and assigned from an effective date, so past periods keep the rules in force at the time. Assignments can also be changed on past periods: the time concerned is then recalculated under the newly applied rules.

The five GSI2 time profile types
ProfileWhat it definesSuited to
UnlimitedNo fixed schedule; actual hours are countedFlexible or senior roles
Total hoursExpected daily hours, with no time windowsFree daily allocation
Standard intervalDaily hours plus permitted entry and exit windowsFlexible hours within limits
Custom intervalPrecise time slots for each day, including split shifts (e.g. 8:30–12:30 and 13:30–17:30)Fixed schedules
WeeklyA weekly hour allowance; hours not worked become absences at the end of the weekVariable daily hours

Overtime, classified by code

Payroll receives hours already classified by code, not just a total. Rules distinguish weekdays, Saturdays and Sundays, and rely on progressive thresholds, remaining hours or specific time bands. Approval can be individual, collective by period and group, or automatic where the profile allows it.

Absences, calendar and hour bank

Absences come from an employee request, a manager entry, a retroactive fix for an anomaly, or automatically for holidays and closures. Durations are counted in hours, days or multiple days, on working days only. Attachments such as medical certificates, single or bulk approval, balances by absence type with accrual and carry-over. National and regional holidays by country, closures by company or site, and an hour bank to set hours aside and recover them.

Anomalies are resolved together

The employee
proposes a correction with a reason and the work mode, and can also flag a record the system considers correct.
The system
suggests the typical corrections, such as inserting the break or aligning entry and exit with the profile.
Automatic rules
with thresholds and priorities resolve recurring cases, including in bulk over a period.
The manager
approves, edits or rejects, with immediate recalculation and an indication of the overtime and lateness generated.

Every resolution records who applied it, when and by which method. It can be reversed, individually or in bulk, and reprocessed. Managers work from an Approver view that shows only what awaits their decision, and approve in bulk.

Works with the payroll software already in use

GSI2 integrates with existing payroll software instead of replacing it. Payroll calculation, recruitment and performance evaluation are outside its scope by design.

  • Payroll file by month and company, in the format the payroll software requires and adapted where needed, preceded by a check: blocking errors such as a missing employee number must be fixed; warnings such as an incomplete day can be accepted knowingly by the manager.
  • Monthly PDF timesheet by company, unit or employee, with a legend of codes and totals by category.
  • Reports on clock-ins, anomalies and absences in CSV, Excel or PDF; validated working time in CSV, Excel or JSON.
  • Imports and APIs from badge terminals and turnstiles.

Frequently asked questions

What is GSI2?

GSI2 (Global Service Interface) is HTLC Network’s web platform for managing company and employee records, documents and attendance in a single environment, with notifications, ticketing and a personal dashboard alongside. It is built and hosted by HTLC Network in Switzerland.

Does GSI2 calculate payroll?

No. GSI2 is the register that keeps people, organizational and attendance data reliable and traced. Payroll calculation stays with dedicated payroll software, which GSI2 feeds through exports and APIs — a payroll file in the format the payroll software requires, a monthly PDF timesheet and CSV, Excel or JSON exports of validated working time.

Where is GSI2 data hosted, and how is it kept separate?

On HTLC Network infrastructure in Chiasso, Switzerland, with backups in a green data center in Zurich. Each client environment has its own dedicated database, so one client’s data is never stored alongside another’s. Multi-factor authentication is configurable.

Can one user manage several companies or clients?

Only where access has been granted. Each Live Client is an isolated environment with its own database. Cross-environment access is an exception: the destination environment grants it to specific Live Clients, which in turn authorize only specific individuals or roles. A user authorized this way moves between those environments from a single account.

How does GSI2 handle attendance anomalies?

Clock-ins that do not comply with the employee’s time profile become anomalies — thirteen types are detected automatically, from a missing entry or exit to work on a public holiday. The employee proposes a correction, the system suggests typical fixes, automatic rules resolve recurring cases, and the manager decides. Every resolution records who applied it, when and how, and can be reversed.

Does GSI2 need to be installed?

No. GSI2 is a web application used from a browser, with no installation. The interface is available in English and Italian.

Can GSI2 be configured for different contracts and countries?

The rules engine is parameterized: time profiles, overtime, breaks and meal vouchers are configured rather than programmed, and public holidays are defined by country and region. It is designed to adapt to different contracts and countries; contracts, exports and languages beyond Italian and English require configuration or development.
